Privacy policy

OMNI — Privacy Policy Effective date: January 1, 2025 · Last updated: March 2026

We've written this in plain English. Privacy policies are usually written to protect the company. This one is written to tell you exactly what we collect, what we do with it, and — most importantly — what we don't do with it.


1. Who we are

OMNI is operated by Omniasync, Inc. ("OMNI," "we," "us," or "our"). Our website is located at omniasync.com. We provide an AI-powered business intelligence platform delivered via a physical device (the OMNI Node) that operates on-premises at your business location.

2. The most important thing you need to know

OMNI's architecture is fundamentally different from most software products. The OMNI Node is a physical device in your office. Your business data — call transcripts, support ticket content, ad performance history, competitive intelligence archives, customer communications, and platform credentials — is stored on hardware in your building, not on our servers.

This means:

  • We do not have access to your call recordings or transcripts
  • We do not have access to your customer support conversations
  • We do not have access to your platform credentials after onboarding
  • We do not store your business intelligence on our infrastructure
  • A breach of our systems does not expose your business data because your business data is not on our systems

3. Information we collect

3a. Account and billing information

When you purchase OMNI or create an account, we collect:

  • Your name and business name
  • Email address and phone number
  • Billing address
  • Payment information — processed and stored by our payment processor (Stripe). We do not store full payment card details on our systems.
  • Subscription tier, active modules, and account history

3b. Communications

When you contact us by email, live chat, or phone, we collect the content of those communications and your contact details. We retain these records to provide support and resolve disputes.

3c. Website usage data

When you visit omniasync.com, we collect standard web analytics data including:

  • Pages visited and time spent
  • Referring URLs
  • Browser type, device type, and operating system
  • IP address (used for geographic analytics and security, not stored long-term)
  • Cookies and similar tracking technologies (see Section 7)

3d. Node operational data

The OMNI Node sends limited operational telemetry to our systems for monitoring and maintenance purposes. This includes:

  • Module operational status (running / paused / error)
  • Software version and update status
  • System health metrics (CPU, memory, storage availability)
  • Error logs containing technical metadata — not business data or customer content

This telemetry does not include your business data, customer information, call content, ticket content, credentials, or intelligence archives.

3e. Onboarding session data

During your Setup & Activation session, your setup specialist works directly within your Node to configure integrations. Credentials entered during this session are stored only on your Node's encrypted local storage. They are not transmitted to or stored on our servers. Once the session ends, our team has no access path to your credentials.


4. How we use your information

We use the information we collect to:

  • Process your order, manage your subscription, and handle billing
  • Deliver and support your OMNI service
  • Send transactional communications — receipts, activation confirmations, usage alerts, and renewal notices
  • Provide customer support and resolve disputes
  • Monitor Node operational health and push software updates
  • Improve our products and services using aggregated, anonymized analytics
  • Comply with legal obligations

We do not use your information to:

  • Train AI models on your business data
  • Sell your data to third parties
  • Share your data with advertisers
  • Build advertising profiles about you or your customers
  • Send unsolicited marketing communications beyond what you've opted into

5. AI providers — how your data is handled

OMNI uses the following AI inference providers to process data through its modules:

Anthropic (Claude API) — used by Omni Ads, Omni Care, Omni Calls, Omni Search, Omni Intel, and Omni Presence for intelligence generation. Under Anthropic's standard enterprise API terms, inputs are not used to train or improve Claude models. Data sent via the API is processed transiently and not retained beyond the duration of the API call.

Google (Gemini API) — used by Omni Analytics and Omni Visuals for content scoring and image generation. Under Google's enterprise API terms, inputs are not used to train Google's models.

These are enterprise API arrangements — distinct from consumer products like Claude.ai or Gemini.com, which have different data handling terms. We recommend verifying current terms directly with each provider at anthropic.com/legal and cloud.google.com/terms for your specific compliance requirements.

When data passes through these APIs, it transits their inference infrastructure in memory for the duration of the operation. The intelligence output is returned to your Node and stored locally. The raw input is not retained by the API provider or by us after the call completes.


6. Information sharing and disclosure

We do not sell your personal information. We share information only in the following circumstances:

Service providers. We share information with third parties who help us operate our business — including Stripe (payment processing), our cloud infrastructure provider (Node operational monitoring), and email delivery providers. These providers are contractually bound to use your data only to provide services to us and not for their own purposes.

Legal requirements. We may disclose information if required by law, court order, or government request, or if we believe disclosure is necessary to protect the rights, property, or safety of OMNI, our customers, or the public.

Business transfers. If OMNI is acquired, merged, or its assets are transferred, your account information may be transferred as part of that transaction. We will notify you via email before your information becomes subject to a different privacy policy.

With your consent. We may share information in other circumstances with your explicit consent.

We will never disclose your business data, call transcripts, customer communications, or intelligence archives to third parties — because this data is stored on your Node, not on our infrastructure, and we do not have access to it.


7. Cookies and tracking

Our website uses cookies and similar technologies for the following purposes:

Essential cookies — required for the website to function. These include session cookies, authentication tokens, and security cookies. You cannot opt out of these without disabling website functionality.

Analytics cookies — we use analytics tools to understand how visitors use our website. This data is aggregated and anonymized. You can opt out via your browser settings or a cookie preference tool.

Marketing cookies — if you arrived via a paid advertisement, we may use cookies to measure ad performance. We do not use this data to build behavioral advertising profiles.

You can control cookies through your browser settings. Disabling certain cookies may affect website functionality. We do not respond to browser "Do Not Track" signals at this time as there is no consistent industry standard for how to interpret them.


8. Data retention

Account and billing data — retained for the duration of your subscription and for 7 years afterward to comply with tax and financial record-keeping obligations.

Support communications — retained for 3 years after your last interaction or account closure.

Website analytics — aggregated analytics data retained for 2 years. Raw IP logs retained for 90 days.

Node operational telemetry — error logs and health metrics retained for 90 days on a rolling basis.

Business data on your Node — this is yours permanently. We have no retention schedule for it because we don't hold it. It remains on your hardware indefinitely or until you choose to delete it.


9. Security

We implement industry-standard security measures to protect the account and operational data we do hold, including:

  • Encrypted data transmission (TLS 1.2 or higher) for all communications between your Node and our infrastructure
  • Encrypted storage for account and billing data
  • Access controls limiting internal access to customer account data on a need-to-know basis
  • Regular security reviews and software update protocols

10. Your rights

Depending on your location, you may have the following rights regarding your personal information:

Access — you may request a copy of the personal information we hold about you.

Correction — you may request that we correct inaccurate or incomplete personal information.

Deletion — you may request that we delete your personal information. Note that we may be required to retain certain information for legal or financial compliance purposes.

Portability — you may request your personal information in a structured, machine-readable format.

Objection — you may object to certain processing of your personal information, including direct marketing.

Withdrawal of consent — where processing is based on your consent, you may withdraw that consent at any time.

To exercise any of these rights, email privacy@omniasync.com. We will respond within 30 days. We do not charge a fee for reasonable requests.

California residents (CCPA/CPRA): You have the right to know what personal information we collect and how it is used, the right to delete personal information, the right to opt out of sale (we do not sell personal information), and the right to non-discrimination for exercising your rights. To submit a request, email privacy@omniasync.com.

EEA and UK residents (GDPR/UK GDPR): Our lawful basis for processing your personal information is the performance of a contract (to deliver your OMNI service), compliance with legal obligations, and legitimate interests (to operate and improve our service). You have the right to lodge a complaint with your local data protection authority.


11. Children's privacy

OMNI is a business-to-business product intended for use by adults operating commercial enterprises. We do not knowingly collect personal information from anyone under the age of 18. If you believe a minor has provided us with personal information, contact us at privacy@omniasync.com and we will delete it promptly.


12. Changes to this policy

We may update this policy from time to time. When we make material changes, we will notify you by email at least 30 days before the changes take effect. The updated policy will also be posted at omniasync.com/pages/privacy-policy with the revised effective date. Your continued use of OMNI after the effective date constitutes acceptance of the updated policy.
